President

The President’s responsibilities include:

  1. attending committee meetings.

  2. chairing all meetings she/he attends under the rules of the club.

  3. conducting such meetings in accordance with the rules of the club.

  4. having the right to exercise his/her vote as a member and shall have the casting vote.

  5. ensuring that all members are made aware of the objectives of the club.

  6. using her/his best endeavours to achieve the objectives of the club.

  7. exercising a watching brief over the whole of the administration of the club.

  8. being responsible for the good order and discipline of the club.

Vice President

The Vice President’s responsibilities include:

  1. supporting the president and other committee members. 

  2. attending committee meetings.

  3. chairing committee meetings when the President is absent.

Secretary (VACANT)

The Secretary’s responsibilities include:

  1. attending committee meetings.

  2. administering the affairs of the club as directed by the committee or members as the rules direct.

  3. signing all outgoing correspondence and receiving all incoming correspondence and generally advance details of all written matters dealt with by the committee and report on any other matters.

  4. recording all minutes of proceedings and maintaining a record of names of persons in attendance at committee meetings and general meetings held.

  5. preparing the agenda for each meeting of the club.

  6. maintaining an appropriate and secure location to house the club’s business records

  7. preparing an annual report for presentation at the annual general meeting.

  8. undertaking other duties as may come within the province of Secretary.

  9. maintaining a club email address list of members.

  10. maintaining records of committee members’ details.

  11. arranging an appropriate meeting location for committee meetings and for any other meetings, as required by the club. 

  12. managing the printing and distribution of minutes to all current members and other persons as directed by the committee.


Effort required (approx hours per week):  Pre-season - Ad hoc <1 hr some weeks. During season 1-2hrs

Treasurer

The Treasurer’s responsibilities include:

  1. attending committee meetings.

  2. ensuring that all money due to the club is collected and deposited in the club’s authorised financial account weekly or more often as the need arises.

  3. holding all financial assets of the club in an authorised account(s) in the name of the North Turramurra Football Club Incorporated with financial institutions that are licenced by the Reserve Bank of Australia and as approved by the committee or a general meeting from time to time.

  4. ensuring that all payments authorised by the club are made.

  5. ensuring that correct records and accounts are kept showing the financial affairs of the club including full details of all receipts and payments connected with the activities of the club.

  6. reconciling club accounts against monthly bank statements.

  7. preparing and presenting reports on the financial status of the club to each quarterly meeting of the committee, or as needed.

  8.  providing a cash float for fundraising events, 


Effort required (approx hours per week): Pre-season - 1-2 hours. During season - 2-3 hours

Registrar (VACANT)

The Registrar’s responsibilities include:

  1. attending committee meetings.

  2. assisting in the design of the registration packages for the coming season.

  3. accepting, organising and receipting all registrations for the current year.

  4. collecting registration forms from registration outlets after registration days.

  5. inputting data from online registration into the club database.

  6. sending relevant information from registration for junior players to the junior coordinator for team placement.

  7. sending relevant information from registration for senior players to the senior coordinator for team placing and grading.

  8. ensuring all players that take the field are both registered and financial members of the club before the first competition match of the season.

  9. updating club database with each player’s team allocation.

  10. providing up-to-date lists of registered club players and team allocations, complete with registration numbers and dates of birth, to governing bodies such as NSFA, Football NSW and/or FFA as required, by the due date/s.

  11. creating accurate team lists for presentation day for the ordering and allocation of trophies.

  12. updating the current year’s player register.

Senior Co-ordinator

The Senior Co-ordinator’s responsibilities include:

  1. endeavouring to increase the profile of senior football with NTFC.

  2. assisting the club’s committee to develop and adopt policies and programs to promote and support senior football.

  3. verifying and passing registrations onto the club’s registrar in a timely manner.

  4. facilitating the location and appointment of coaches for the upcoming season.

  5. assisting in the grading and placement of registered players into teams.

  6. facilitating senior teams to be adequately kitted out.

  7. attending committee meetings or other meetings at the direction of the committee, to represent senior football issues and/or to report on events and happenings concerning senior football.

  8. as needed, ensuring adequate canteen/BBQ operation on Saturdays/Sundays when playing at the club’s home ground.

Age-level Co-ordinator

There are 3 age-level co-ordinator positions:

  • Mini-roos Co-ordinator (Under 6-7);

  • Junior Co-ordinator (Under 8-12);

  • Youth Co-ordinator (Under 13-18).

The responsibilities of an age-level co-ordinator include:

  1. endeavouring to increase the profile of junior football and small-sided football (SSF) with NTFC. 

  2. assisting the committee to develop and adopt policies and programs to promote and support junior football and SSF.

  3. assisting in the placement of registered players into teams for their applicable age level.

  4. facilitating the appointment of coaches for the upcoming season and ensuring that all teams have an allocated coach that is suitable and appropriate to the position.

  5. facilitating junior and SSF teams to be adequately kitted out and ensuring the coach has signed for the equipment allocated to his/her team.

  6. compiling information packages for coaches/managers, to includes relevant items such as encouragement awards, referee vouchers, coaches handbook, match cards, discounts cards, play by the rules cards, team monitor instructions and team lists.

  7. organising and allocating training spaces for coaches and teams for the current year

  8. acting as a liaison between the coaches of junior football and SSF and the committee.

  9. assisting with any disciplinary matters arising from junior and SSF teams, in association with the committee.

  10. continually liaising with team coaches/managers to ensure smooth and proper running of the teams for the season.

  11. attending committee meetings or other meetings at the direction of the committee, to represent junior football and SSF issues and/or report on events and happenings concerning junior football and SSF.

Female Co-ordinator

The Female Co-ordinator’s responsibilities include:

  1. endeavouring to increase the profile of female football with NTFC.

  2. assisting the committee to develop and adopt policies and programs to promote and support female football.

  3. verifying and passing registrations onto the Club’s Registrar in a timely manner.

  4. facilitating the location and appointment of coaches for the upcoming season.

  5. assisting in the placement of registered players into teams.

  6. facilitating female teams to be adequately kitted out.

  7. attending committee meetings or other meetings at the direction of the committee, to represent female football issues and/or to report on events and happenings concerning female football.

  8. as needed, ensuring adequate canteen/BBQ operation on Saturdays/Sundays when playing at the Club’s home ground.

Coaching Co-ordinator (VACANT)

The Coaching Co-ordinator’s role and responsibilities include:

  1. having overall responsibility for all aspects of the club’s coaching program.

  2. sound knowledge of the FFA national curriculum and relevant association resources.

  3. willing to consult with and seek support from the association Technical Director and Community Football Manager.

  4. liaising with the SAP coaches and team coaches (if appointed) regarding coaching matters assisting in their professional development.

  5. adhering to the coaching policies as determined by the committee and to consider advice given in matters affecting team preparation.

  6. being reasonable in your demands on your coaches’ time and energy.

  7. teaching coaches rules of the game are mutual agreements in accordance with NSFA’s direction of “Fair Play”, and that all players and officials are bound by the code of “RESPECT”.

  8. being responsible for the overall care of training kit.

  9. reporting missing or damaged equipment to the Committee immediately.

  10. acting in accordance with the FFA Code of Conduct and complying to working with children requirements for coaches of junior teams under the age of 18.

Communications & Social Media Co-ordinator (VACANT)

The Communications & Social Media Co-ordinator’s responsibilities include:

  1. managing all content hosted on the club’s website.

  2. provision and circulation of promotional material associated with the club.

  3. co-ordination of communications with all club members.

  4. promoting the club within the North Turramurra community.

  5. collaborating with team managers and other club members to gather content for the social media feeds and The Swoop (club newsletter).

  6. publishing The Swoop (approximately monthly).

  7. managing / posting to the club's Facebook and Instagram feeds.

  8. managing queries/comments posted via the club's Facebook page.

Experience with social media platforms required. Experience with Mailchimp and design tools (eg Canva) preferred. Handover provided.

This a great opportunity for anyone with a passion for social media and/or wanting to get experience in the communications field.

Events Co-ordinator (VACANT)

The Events Co-ordinator’s responsibilities include:

  1. Work with the committee to identify ideas for events.

  2. Maintain a schedule of events.

  3. Consult with sponsors to identify opportunities for collaborating on events.

  4. Liaise with team managers to identify and form working groups to help plan and run the events.

  5. Support volunteers helping with events.

  6. Assist in finding suppliers as needed for events.

Shop & Kit Co-ordinator

The Shop & Kit Co-ordinator’s responsibilities include:

  1. liaising with registrar and age-level co-ordinators to identify new kit requirements within the club  

  2. researching products and finding suppliers 

  3. purchasing, and taking delivery of, new kit

  4. co-ordinating distribution of kit to club members, via team managers

  5. maintaining the club’s online shop

  6. fulfilling orders submitted to the online shop  

  7. co-ordinating an annual kit inventory 

  8. be the point of contact for kit enquiries

  9. maintaining records of kit expenses 

Equipment Co-ordinator 

The Equipment Co-ordinator’s responsibilities include:

  1. liaising with age-level co-ordinators and coaching co-ordinator to identify new equipment requirements within the club  

  2. researching products and finding suppliers 

  3. purchasing, and taking delivery of, new equipment

  4. oversee distribution of equipment to teams and coaches

  5. co-ordinating an annual equipment inventory 

  6. be the point of contact for reports of broken/faulty equipment and equipment requests

  7. maintaining records of equipment expenses

Pre-season - 1-2 hrs. During season - ad hoc.

Team Manager

Each Team Manager’s responsibilities include:

  1. liaising with the team coach and assistant coach (if appointed) in regarding team matters.

  2. liaising with all players in the team, parents/guardians of any players under 18 years of age, and with the relevant program coordinator.

  3. observing club policies as approved by the committee and acting on club advice given in matters affecting team preparation.

  4. keeping a copy of team and player’s details at all times.

  5. assisting in control of the team with respect to standard of dress and behaviour off the field of play.

  6. being responsible for the distribution and return of fundraising items to individual players, when applicable.

  7. completing the appropriate paperwork for matches as required under the competition rules.

  8. handling any minor complaints regarding any aspect of the team’s competition, and/or referring any complaints to the Committee and/or respective program coordinator, as appropriate, and.

  9. acting in accordance with the FFA Code of Conduct and complying to working with children requirements for coaches of junior teams under the age of 18.

Team Coach 

Each Team Coach’s responsibilities include:

  1. having overall responsibility for all aspects of the team’s program.

  2. liaising with the team manager and assistant coach (if appointed) regarding team matters.

  3. if assistant coach is appointed, assisting in their professional development.

  4. adhering to the coaching policies as determined by the Committee and to consider advice given in matters affecting team preparation.

  5. being reasonable in your demands on your players’ time and energy.

  6. teaching players that rules of the game are mutual agreements in accordance with NSFA’s direction of “Fair Play”, and that all players and officials are bound by the code of “Respect”.

  7. being responsible for the collection, care and return of team kits.

  8. reporting missing or damaged equipment to the committee immediately.

  9. being responsible for the manager’s duties if no manager is appointed, and.

  10. acting in accordance with the FFA Code of Conduct and complying to working with children requirements for coaches of junior teams under the age of 18.
